Final Author Presentation Instructions

Oral Lecture Presentation Information

  • The duration of a contributed presentation slot is 20 minutes. You will have 15 – 17 minutes for the presentation itself and 3 minutes for questions from the audience.
  • An invited speaker will be allotted 30 minutes for their presentation.
  • A projector & computer will be available in the session room for regular presentations. Please bring your presentation on a USB drive as you may not unplug the presentation laptop to plug in your own.

Preparation of Visuals

  • PLEASE NOTE THAT YOU MUST BRING A MEMORY STICK CONTAINING YOUR PRESENTATION FILE.
  • Files can be uploaded to the local PCs in the lecture rooms during the coffee breaks or at lunch.
  • To avoid software compatibility problems (MS Powerpoint), speakers are advised to EMBED ALL FONTS in your Powerpoint file AND bring a backup PDF-version of your presentation.
  • Speakers should arrive in their session room 15 minutes BEFORE the start of your session.

General Considerations

  • Limit the number of words per visual to no more than 20.
  • Leave space, at least the height of a capital letter, between lines of text.
  • All fonts, including that on graphs, should be 18 point or larger.
  • Graphs and charts should have bold lines and symbols that contrast sharply with the background.

Poster Presentation Information

We recommend printing the poster no more than 4ft x 4ft as poster boards will be shared among presenters. Double-sided adhesive tape and/or pins will be available in the poster area to put the posters on the panels.

There is one poster session that all authors must be present at:

  • Monday, June 24, 6:00 PM - ESJ Building, Second Floor

Authors are required to print their own poster and are responsible for hanging up their poster on Monday morning. ALL posters should be hung up by lunchtime on Monday. This allows people to take a look at your poster in advance. Posters may be removed Monday evening after your presentation or anytime Tuesday. All posters that are left behind will be throw away at the end of the day on Tuesday.

Each poster board onsite will be marked with a number that directly correlates with each poster in the PDF program. Please place your poster on the assigned board. Do not hang your poster just on any board. You can find this information printed on a poster board at the conference.

You are welcome to use your own poster template.

Poster Pitches

We want to inform you of an additional requirement for your poster presentation at the upcoming DRC event. In addition to presenting your poster, you will also need to deliver a brief pitch lasting 2-3 minutes using a single PowerPoint slide. The poster pitches will take place at 5:00 PM before the Poster Session on Monday, June 24, 2024. They will be located in ESJ (Edward St. John) building on campus.

Please use the template provided via email for your pitch. The naming convention for your file is as follows: Poster#_LastName.pptx. You can find your poster number in the program agenda.

Kindly deposit your PowerPoint slide in the folder below by June 15th.

All pitches will be loaded onto the presentation computer in the presentation room in numerical order.  You can only upload 1 form, so please plan accordingly.
